This policy explains how The Steamy Pheasant (“we”, “us”, “our”) collects, uses and protects your personal information when you enquire about or book our mobile sauna and cold plunge hire, visit our website, or get in touch with us. It applies to clients based in the UK.

We are committed to handling your information fairly, transparently and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

The Steamy Pheasant is a mobile wood-fired sauna and cold plunge hire business run by Sarah and James, operating across Dorset and Wiltshire.

2. The information we collect and why

We only collect the information we need to run your booking smoothly and to keep in touch with you if you'd like us to.

  • Name, email, phone number – to confirm and manage your booking with us (lawful basis: performance of a contract with you)

  • Address / location for your hire – to work out logistics and deliver the sauna/plunge to you (lawful basis: performance of a contract with you)

  • Payment details – to take payment for your booking, processed via our payment provider and not stored by us (lawful basis: performance of a contract with you)

  • Booking history and preferences – to manage repeat bookings and respond to enquiries (lawful basis: performance of a contract / legitimate interests)

  • Email address, if you opt in – to send you occasional news, offers or event updates (lawful basis: consent)

  • Enquiry/contact form details – to respond to questions sent via our website (lawful basis: legitimate interests)

We do not ask for or collect any health or medical information as part of booking. If this ever changes (for example, if we introduce a health screening question for safety reasons), we will update this policy and explain the additional protections that apply.

3. How we collect your information

  • Directly from you, when you make a booking or check availability through Acuity Scheduling, our online booking system

  • Directly from you, when you fill in an enquiry or contact form on our website, or message us via our website chat

  • Directly from you, if you sign up to our email updates

  • Automatically, through cookies and similar technology when you use our website (see Section 7)

4. Who we share your information with

We don't sell your information. We share it only where necessary to run our business and deliver your booking:

  • Acuity Scheduling (owned by Squarespace) – our booking and calendar system, which processes your name, contact details and booking information

  • Wix.com – our website host, which processes enquiry form submissions, website chat messages, and email sign-ups

  • Our payment provider (processed through Wix Payments) – to take payment for your booking; we do not store your full card details ourselves

  • Professional advisers (such as our accountant), where necessary, and law enforcement or regulators where we are legally required to

We do not use any other third parties to process your personal information at this time.

5. Storing your information outside the UK

Some of the providers we use (including Acuity Scheduling and Wix) may store or process information on servers outside the UK, including in the United States. Where this happens, we make sure appropriate safeguards are in place, such as the UK's International Data Transfer Addendum or a finding that the destination country offers an adequate level of protection, so your information stays properly protected wherever it's processed.

6. How long we keep your information

  • Booking and contact details: kept for the duration of our relationship with you,  and afterwards, to meet our accounting and tax obligations

  • Email marketing sign-ups: kept until you unsubscribe or ask us to remove you

  • Enquiry form messages: kept for as long as needed to deal with your enquiry, then deleted

After these periods, we securely delete or anonymise your information.

7. Cookies

Our website is built on Wix, which uses cookies and similar technologies to make the site work, remember your preferences, and (where you consent) understand how visitors use the site. You can control or clear cookies through your browser settings at any time. Where required, we will ask for your consent to non-essential cookies via a cookie banner on our website.

8. Your rights

Under UK GDPR, you have the right to:

  • Be informed about how we use your personal information (this policy)

  • Access the personal information we hold about you

  • Ask us to correct inaccurate or incomplete information

  • Ask us to delete your information, in certain circumstances

  • Ask us to restrict how we use your information

  • Object to us using your information, including for direct marketing

  • Ask us to move your information to another organisation, in certain circumstances

  • Withdraw consent at any time, where we rely on consent (for example, our email newsletter)

9. Keeping your information secure

We take reasonable technical and organisational steps to protect your personal information, including relying on the security measures built into Acuity Scheduling and Wix, restricting who within our business can access your information, and only working with providers who take data protection seriously.

10. Children

Our services are aimed at adults. We do not knowingly collect personal information from children, and our booking and hire services are intended to be arranged by adults on behalf of any children attending.

11. How to complain

If you're unhappy with how we've handled your personal information, please tell us first so we can put things right. Email us at info@thesteamypheasant.co.uk and we will acknowledge your complaint within 30 days and respond as soon as we reasonably can.

If you're not satisfied with our response, you also have the right to complain to the UK's data protection regulator:
